Executive Assistant

Morreale Communications has a fantastic opportunity for an experienced and resourceful Executive Assistant to join our team. The Executive Assistant will work provide high-quality administrative and operations support to leadership and the firm. This is an exciting new position that will propose and implement best practices, improve upon and streamline office processes. The ideal candidate is professional, organized and proactive to ensure the leadership team is prepared and has the information and materials needed in advance. Job Responsibilities

Executive Administration

  • Must be a forward-thinking individual who is self-motivated and proactive 

  • Quick learner and natural ability to multi-task   

  • Coordinate and execute meetings and events including securing venues, purchasing equipment and supplies, coordinating vendors and ordering food and beverage  

  • Coordinate travel arrangements, reservations, on-site technology, materials and promotional items for meetings  

  • Coordinate and send client materials via mail  

  • Secure and processes firm sponsorships  

  • Write correspondence on behalf of the President/CEO and other members of the executive leadership team 

  • Provide personal support and run various errands as requested  

  • Support members of the leadership on an as needed basis  

Operations

  • Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries 

  • Facilitate company insurance including renewals, negotiations, and coordination of certificates of insurance and workers compensation  

  • Maintain firm’s certificates in good standing and renew certifications as appropriate 

  • Set up and manage firm software and tools 

  • Conduct vendor and contractor management  

  • Identify, gather information, and set up internal communications resources as needed   

  • Maintain and replenish office inventory  

  • Purchase materials and supplies for projects as requested 

  • Gather data for invoices including receipts, expense reports and signed time sheets  

  • Additional projects and tasks as assigned  

Employee Services

  • Onboard new hires ensuring compliance of hiring forms, tax forms, direct deposit, background checks, etc. 

  • Coordinate staff compensation and benefits including PTO, health insurance and 401k  

  • Facilitate employee off-boarding, including scheduling exit interviews, removing access, and collecting company equipment  

  • Maintain up to date employee resources including the employee handbook  

Position Qualifications

  • Associate or Bachelor’s degree in Business Administration is preferred, not required  

  • 2 - 4 years’ experience within a business environment   

  • Advanced proficiency in Microsoft Office Suite  

  • Strong and professional communication; verbal, written and penmanship 

  • Ability to multitask and prioritize in a fast-paced environment   

  • Self-starter with a strong sense of initiative and a can-do attitude   

  • Ability to handle confidential and sensitive information with discretion    

  • Highly detailed, organized, and resourceful  

  • Familiarity with SharePoint a plus

Initially, this position will be remote, and then depending on timing could either report out of the Chicago office located in Edison Park or downtown Chicago. Must have reliable transportation and be willing to travel as needed to client offices.   

Salary is $45,000 - $50,000 (based on experience and certifications)
