Accounting Associate
Morreale Communications has a fantastic opportunity for a new Accounting Associate to join our award-winning team. The Accounting Associate will work closely with the firm’s operational initiatives and will assist in ensuring operational excellence through consistent communication, collaboration, meeting deadlines, and maintaining processes. Responsibilities include but are not limited to invoicing, processing of timesheets and payroll, and Enterprise Reporting Platform (ERP). Job Responsibilities
Invoicing
Support the firm’s financial data and compliance by maintaining daily financial entries
Lead client invoicing process from start to finish to ensure accurate and timely billing
Manage accounts payable and accounts receivable including utilizing the firm’s accounting systems to monitor billing transactions and resolve account discrepancies
Update client records in the database, post payments timely, and escalate outstanding bills to Vice President of Operations & Strategic Initiatives for resolution
Process vendor payments
Provides support to Chief Financial Officer in the preparation of periodic financial statements and annual report
Comply with local, state, and federal government requirements
Timesheets and Payroll
Process employees’ paychecks by collecting payroll data, timesheets and coordinating with payroll provider, Paychex
Manage the firm’s timesheet process ensuring all timesheets are reviewed, approved and posted on time
Verify employees’ work hours and payment through Paychex and the firm’s Time and Expense software, Deltek Vantagepoint
Issue deductions, earnings and other statements to employees and updating payroll records regularly
Update payroll records by entering any changes to employee information or benefits such as job title changes, exemptions and saving deductions
Prepare reports that include summaries of earnings, tax deductions, leave, compassionate leave and non-taxable wages
Resolve payroll discrepancies and answering any employee payroll queries
Maintain all payroll operations according to company policies and procedures
Process and issue W-2 forms to employees
Enterprise Reporting Platform (ERP)
Support the firm’s ERP, Deltek VantagePoint, by overseeing the timesheet review process, processing expense reports, and updating employee records
Assist with client and/or project set up including entering contact information, contract and billing terms, and work breakdown structures
Position Qualifications
Strong business acumen, attention to detail, critical thinking skills, project management capabilities, and effective time management to support simultaneous projects
Bachelor’s degree in Business Administration is preferred, not required
3 - 4 years’ experience in this capacity
Advanced proficiency in Microsoft Office Suite
Strong and professional communication; verbal and written
Ability to multitask and prioritize in a fast-paced environment
Self-starter with a strong sense of initiative and a can-do attitude
Ability to handle confidential and sensitive information with discretion
Experience in the engineering, architectural and professional services preferred
Experience with Deltek Vantagepoint preferred
Knowledge of Illinois’ cost estimate consultant services (CECS) process preferred
Positive attitude, organized, team player willing to support the team’s overall efforts

Initially, this position will be remote, and then depending on timing could either report out of the Chicago office located in Edison Park or downtown Chicago. Must have reliable transportation and be willing to travel as needed to client offices.
Salary is $50,000 - $65,000 (based on experience and certifications)
